About KEY4EVENTS
Founded in 2004, KEY4EVENTS draws on over twenty years of experience working with event organizers of all kinds. Originally a provider of IT, office, and network services, the company has developed specialized software solutions tailored to each client’s needs. These include registration and badge printing, presentation management, streaming and content capture, access control or data integration with clients’ CRM, ERP, and CMS systems.
Today, KEY4EVENTS supports around 200 to 250 events each year across France and internationally, mainly medical and scientific congresses, but also corporate events. KEY4EVENTS has become a trusted partner for more than a hundred international associations, PCOs (Professional Congress Organizer), and convention centers.
The company’s operational needs
Among its on-site solutions, KEY4EVENTS offers K4access, a tool dedicated to access control and traceability (attendance tracking, access management, headcount, and registrations). Until recently, these operations relied on offline devices that allowed local data collection (session attendance, lunches, etc.), which they had to be manually retrieved and consolidated in Excel at the end of the day. In order to meet evolving client needs and continue its innovation efforts, KEY4EVENTS wanted to develop a more flexible and fully secure solution, one capable of collecting and centralizing data in real time, eliminating manual re-entry and the risk of errors, and enabling a much smoother use of information throughout events.
What we built together
The K4access solution, used by organizers, hosts, and security staff, is directly connected to KEY4EVENTS’ SaaS platform (K4register), which centralizes the management of registrations and access control points.
Equipped with the Famoco FX325 terminal with a laser scanner, teams scan participants’ badges toinstantly control access and ensure capacity limits are respected. Data is synchronized in real time with the platform, enabling centralized management of control points and continuous updates of attendee lists. This global visibility allows teams to adjust operations on the spot (adding extra checkpoints, capacity monitoring) and immediately streamline attendee flows. Of course, the solution also remains fully operational offline, thanks to the downloading and local use of event data.
Given the sensitive context of medical and scientific congresses, data security is essential: the solution runs on Famoco OS, an Android-based operating system that ensures full data sovereignty.
